Free tool, your own numbers

How much email time never makes it onto a time sheet?

Put in your own numbers. The calculator works out the 6 minute units you spend on email each week, how many you are not recording, and what that is worth at your rate. The formula is on the page, and nothing you type leaves your browser.

How it is worked out

  • Units for one email = minutes on the email ÷ 6, rounded up to a whole unit if the box is ticked
  • Units a week = emails a day × units for one email × days a week
  • Units not recorded = units a week × (100% minus the share you record now)
  • Unrecorded a week = units not recorded × 0.1 of an hour × your hourly rate
  • A year = a week × weeks you work a year. A month = a year ÷ 12

Everything is worked out in your browser. Nothing you type is sent to us or stored.

Six minute units, in plain terms

Many Australian firms record time in tenths of an hour, so one unit is 6 minutes. A two minute email recorded on its own is often one unit, and a nine minute one is two. Whether and how you charge for it is set by your costs agreement and your firm's own practice, so treat the rounding box as a setting for your own habits, not a rule.

Email is where unrecorded time tends to hide, because each one feels too small to stop and record. Recording it as you finish each email, rather than reconstructing the day at 6pm, is the simplest habit that closes the gap. If you use Smokeball, AI Legal Toolbox lets you record the time against the matter from the email itself, and nothing is recorded until you confirm.

Questions practitioners ask

Is the result a prediction of what I will earn?

No. It only multiplies the numbers you put in. Your real figure depends on your matters, your costs agreements and what your clients are charged for.

Is anything I type stored?

No. The sums are done in your browser. Nothing is sent to us or saved.

Why round each email up to a whole unit?

Many firms record a minimum of one unit for a short email. If your practice does not, untick the box and the calculator uses the exact minutes instead.
