If you look after a law firm's Microsoft 365, this page is for you.

A firm you support may ask about AI Legal Toolbox, an Outlook add-in with an AI paralegal called Nova. Here is what it is, how to approve and deploy it, what it can touch and where its data lives, so you can answer in one read.

Available on Microsoft AppSource for Outlook on Windows, Mac and the web

What it is

An Outlook add-in

Installed from Microsoft AppSource. Works in Outlook on the web, Windows and Mac with a Microsoft 365 work or school account.

Made in Australia

Made by Elysia Partners Pty Ltd, ABN 78 685 100 930, Queensland, for Australian legal practices from sole practitioners to firms of around 25 fee earners.

Drafts, never sends on its own

Replies are saved to the Outlook drafts folder. Filing, time entries and calendar entries only happen after the practitioner confirms, and every confirmed action is logged.

Optional Smokeball connection

With Smokeball it files emails to matters and records time. It does not request access to trust or bank accounts.

Approving it for a firm

Many firms only let an administrator approve new apps that ask for access to mail. If staff see a Microsoft message saying the app needs admin approval, there are two ways to approve it, both on Microsoft's own pages:

  1. One link, about 2 minutes. A Microsoft 365 administrator opens the admin approval link, signs in with an administrator account and presses Accept on Microsoft's consent page. That approves it for the whole firm.
  2. Deploy it for everyone. In the Microsoft 365 admin center, go to Settings, then Integrated apps, then Add-ins, choose Deploy Add-in, then the Office Store option, search for AI Legal Toolbox, and choose who gets it. Microsoft notes add-ins can take up to 24 to 72 hours to appear in Outlook. Each person still signs in once.

The full list of Microsoft Graph permissions it asks for, and why each one is needed, is on the IT approval page. They are delegated permissions that act for the person signed in, so it never sees anyone else's mailbox. Access can be removed by the person signing out in the add-in, or by an administrator under Enterprise applications in Microsoft Entra.

Where the data lives

  • Application and database hosted in Sydney, Australia.
  • AI text processing by OpenAI in the United States, not retained there.
  • Client correspondence is never used to train AI models.
  • Each practitioner's firm library is encrypted with its own key and searchable only by the person who uploaded it.

Questions practitioners ask

Does it need a server or agent installed at the firm?

No. It is an Outlook add-in from Microsoft AppSource. There is nothing to install on the firm's machines beyond Outlook itself.

Can a firm remove it later?

Yes. Each person can sign out in the add-in, and an administrator can remove the app under Enterprise applications in Microsoft Entra at any time.

Does it access trust accounts in Smokeball?

No. When a practice connects Smokeball, it does not request access to trust or bank accounts.
